Segments — saved searches that auto-refresh

Turn a query into a living segment. Daily digests, exports, watchlists, and outreach triggers all start here.

5 min readWorking with companies

A segment is a reusable company list inside one workspace. Use it when a set of companies matters beyond a one-off lookup: competitors to watch, suppliers to review, new local companies, or companies that match an Intelligence Studio query.

Dynamic vs static

  • Dynamic — created from an Intelligence Studio saved query. Refreshing the segment re-runs that query and updates the members.
  • Static — created manually. Add or remove companies from company profile pages when you want a curated list.

Which one should I create?

  • Use Create static segment when you already know the companies and want a manual list.
  • Use Build dynamic segment when the list should be powered by filters such as location, incorporation date, status, charges, or SIC code.

Refresh cadence

Dynamic segments show a last_refreshed_at timestamp when they have been materialised. Click Refresh on the segment detail page to re-run the saved query against current canonical data. Static segments do not refresh automatically because their membership is manually curated.

What you can do with a segment

  • Daily digest — receive an email each morning listing companies that joined the segment in the last 24h.
  • Export — CSV download of the current member set, including the columns you have chosen in the grid.
  • Watchlist sync — move all members onto the watchlist (high refresh priority).
  • Outreach trigger — when wired up with the notification engine, segment-join events can fire a sequence (intro email → reminder → final).

Enrichment-ready segments

A segment is also the safest unit for batch enrichment. It gives the engine a bounded audience, a clear workspace owner, and a reusable downstream object for exports, Direct Mail, and review.

  1. Build or choose a segment with a specific purpose, such as Skilled Worker sponsors, local competitors, suppliers, or recently formed companies.
  2. Start enrichment from the segment detail page when the audience is small enough to review and the source policy is ready.
  3. Treat the completed enrichment run as context, not automatic truth. Approved workspace claims become usable downstream; rejected and pending claims stay out of exports and Direct Mail merge data.
  4. Use Exports or Direct Mail from the same segment after reviewing the run outcome and any pending claims.

Advisor and agent workflow

In advisor workspaces, segments are the bridge between research and client work. Intelligence Studio answers the question; the segment is the reusable list your team can monitor, review, and export.

  1. Start in Intelligence Studio and apply an advisor preset such as recently dissolved companies, companies with charges, new limited companies, or Skilled Worker sponsors.
  2. Run the query and check the count. Narrow it if the list is too broad for the client-development or compliance workflow.
  3. Save the query with a purpose-led name, then materialise it as a dynamic segment.
  4. Open Segments and confirm the dynamic segment is visible to the workspace with the expected company count.
  5. Use the segment for monitoring, or open Exports to generate a private CSV after reviewing the credit estimate.

Permissions

Segments are workspace-scoped. Anyone in the workspace can see and open them. Creating, editing, refreshing, removing companies, and deleting segments require Operator or higher.

A good first segment

For a Direct Business workspace, a good first dynamic segment is:

Filter:
  incorporation_date last_30_days
  company_type      = ltd
  company_status    = active
  postcode_area     in ('B1')              // Birmingham core

Start from Intelligence Studio → Direct Business: new local companies.

Run the filter, save the query, then materialise it into a dynamic segment when the result list looks useful.

A good first advisor segment

For an accounting-firm or agent workspace, a good first dynamic segment is:

Preset:
  Advisor: recently dissolved

Purpose:
  Find companies that may need advisory follow-up, rescue support,
  client reactivation, or risk review.

Workflow:
  Intelligence Studio -> apply preset -> Run -> Save query -> Materialize
  -> Segments -> Exports

If the list is too broad, narrow by geography, SIC code, company age, sponsor licence status, or the client sector you are targeting.
